AI Disclosure

Sunate uses artificial intelligence to help business users work with CRM records, messages, files, images, estimates, proposals, schedules, and integrations.

This AI Disclosure supplements the Terms of Service and Privacy Policy.

1. What AI features may do

Depending on configuration, Sunate Copilot and related features may:

  • Answer questions about a workspace.

  • Summarize records, messages, files, and conversations.

  • Extract information from text, images, audio, PDFs, email, and forms.

  • Draft messages, estimates, scopes, proposals, tasks, notes, and other content.

  • Recommend next steps, materials, schedules, or follow-ups.

  • Create or update CRM records at a user's direction.

  • Use enabled integrations after a user request.

  • Generate or edit images and documents.

  • Translate or respond in multiple languages.

  • Identify patterns, priorities, or possible opportunities.

2. AI providers and information

To perform a request, Sunate may send prompts and relevant Customer Data to contracted AI, transcription, image, hosting, or monitoring providers.

Prompts may include information necessary for the request, such as selected CRM records, conversation history, files, images, audio, or integration results.

Customers should configure permissions carefully and avoid submitting information that is unnecessary for the task.

Sunate may retain conversations, action logs, tool inputs and outputs, attachments, and feedback to provide history, audit actions, secure the Services, troubleshoot, and improve quality as permitted by law and agreement.

3. AI can be wrong

AI output is probabilistic and may be false, incomplete, biased, stale, inconsistent, or unsuitable.

A confident tone does not mean that a response is correct.

Users must review output before relying on it or sending it externally.

4. Human review and confirmation

Users should independently confirm:

  • Property identity and ownership.

  • Measurements and quantities.

  • Prices, materials, and availability.

  • Permit, building-code, and safety requirements.

  • Dates, schedules, recipients, and addresses.

  • Contract, proposal, estimate, and scope terms.

  • Actions taken in connected systems.

Material, destructive, financial, or external-facing actions should receive appropriate human review.

5. No professional advice

AI output is not legal, engineering, architectural, structural, medical, financial, tax, accounting, insurance, employment, code-compliance, or safety advice.

Sunate does not certify a roof, structure, estimate, permit, product, professional conclusion, or legal document.

Consult qualified professionals where appropriate.

6. AI-assisted communications

Some SMS, WhatsApp, email, and in-application responses may be generated or assisted by AI.

The Sunate Copilot SMS disclosure states that some responses may be AI-generated.

A customer that uses AI to communicate with its own contacts is responsible for any additional disclosure, consent, supervision, or human-review requirements that apply.

Do not use AI to impersonate a real person deceptively, fabricate approval, create fake reviews, or conceal a legally required sender identity.

7. High-impact decisions and discrimination

Do not use Sunate AI as the sole or determinative basis for decisions about:

  • Credit or lending.

  • Employment.

  • Housing or tenancy.

  • Insurance.

  • Education.

  • Healthcare.

  • Legal rights.

  • Government benefits.

  • Access to essential goods or services.

Do not use AI or Sunate data to discriminate unlawfully or target people based on protected characteristics or sensitive vulnerabilities.

8. Generated content and rights

AI output may resemble existing content and may not be unique or legally protectable.

Customers are responsible for checking accuracy, permissions, trademarks, copyrights, publicity rights, contractual restrictions, and other legal requirements before publication or commercial use.

9. User controls

Users can choose whether to submit a prompt, review proposed actions, disconnect integrations, change permissions, unlink a phone, opt out of SMS, and stop using AI features.

Workspace owners should train users, define approval practices, review action logs, and limit access according to job responsibilities.

10. Reporting concerns

Report harmful output, privacy concerns, unauthorized actions, or security issues to support@sunate.app.

Include the date, workspace, feature, and enough context to investigate, but do not email passwords, tokens, or unnecessary sensitive information.
